How to Write a Compelling Cover Letter

The most common cover letter mistake is turning what's already on your resume into prose ("From 2020 to 2023, I worked at Company X as a Y..."). That's not what a cover letter is actually for β€” its job is to supply the context and motivation a resume can't.

1. What a Cover Letter Actually Needs to Do

A cover letter should answer three questions: Why this company/role?, Which piece of your resume maps directly onto this role?, and What contribution will you make in this position? Your resume already tells the reader what you did; the cover letter needs to tell them why that matters for this specific job.

2. Structure: The Three-Paragraph Rule

  • Opening: State the position and company clearly, and briefly highlight a genuine point of interest in the company or role (not a generic compliment β€” something specific: a product, a project, a value).
  • Body: Pick 1-2 concrete pieces of experience from your resume and explain how they map onto the posting's requirements β€” rather than repeating the resume, "expand" on one of its lines (if your resume says "grew sales by 20%," the cover letter is where you briefly tell the story of how you did it).
  • Closing: A clear call to action ("I'd welcome the chance to discuss my experience further in an interview") and a thank-you.

3. Avoid Generic Statements

Lines like "I'm hardworking, a team player, and results-driven" are not distinctive to any employer β€” everyone writes that. Instead, write one sentence that actually proves the trait: "I demonstrated being a team player by coordinating three departments to deliver a product launch last year."

4. Rewrite for Every Application (But Not From Scratch)

Copy-pasting the same cover letter to every posting gets noticed quickly by recruiters (especially if you forget to change the company name). But that doesn't mean rewriting from zero each time either β€” keeping a fixed skeleton (opening/body/closing structure) and swapping the 1-2 examples in the body to match each posting is practical and sufficient.

5. Length and Tone

A cover letter should stay within one page, usually 3-4 short paragraphs. Tone can flex with company culture (more casual for a start-up, more formal for a corporate employer), but should stay respectful and concise either way.
